Policy: Return of Deposit for First-Month Membership Dues

Purpose:
To clarify the process for refunding deposits when a patient is deemed ineligible for membership following their initial consultation with a medical provider.

Policy Statement:
If a patient is determined to be ineligible for treatment or services following their initial medical consultation, the deposit paid toward their first-month membership dues will be fully refunded.

Conditions for Refund:

  1. Ineligibility Determination:
    • A medical provider must determine that the patient is ineligible for treatment or services based on clinical criteria during or after the initial consultation.
  2. Consultation Requirement:
    • The patient must have completed their consultation for the eligibility determination to be valid.
  3. Timeline for Refund:
    • Refunds will be processed within 5-7 business days of the eligibility determination.

Refund Process:

  • The patient will be notified of their ineligibility by the medical provider or a designated team member.
  • The finance team will initiate the refund back to the original payment method.

Exclusions:

  • Deposits will not be refunded for no-shows or cancellations that do not comply with the cancellation policy.
